Information for Presenters

Your Presentation Data:

  • Because of the limited time between sessions, CECA asks to bring your data to the session room during lunch time for a smooth transition.

    • September 2, from 2 p.m. for Session 1 (Room IMH 204) and Session 2 (Room IMH 203)

    • September 3, from 1 p.m. for Session 4, 5, 6 (Room E)

    • September 4, from 1 p.m. for Session 7, 9, 11 (Room B1) and Session 8, 10, 12 (Room B2)

  •  You can also email to icomcecakyoto@gmail.com by September 1.

Preparing for Presentation Data:

  • The size of the projection screen for your presentation will be 16:9 widescreen aspect ratio. Please prepare your slides in a 16:9 format, and store the data either on a USB memory device, CD-R or a laptop computer. 

  • You will be asked to check the operation of your laptop or upload the data onto the PC provided in the session room. Please be sure to have backups.

  • All session rooms are equipped with a PC installed with Windows 10, and Microsoft PowerPoint Versions 2010, 2013, 2016 application software.

  • To avoid display problems with your presentation, we recommend to use standard OS fonts. If you use fonts other than the following list, alternative fonts will be selected and layouts may be disrupted. If you use special fonts, you should save them as images and paste them on your slides as object.

    • Recommended fonts: MS Gothic, MSP Gothic, Arial, Arial Black, Century, Century Gothic, Times New Roman or Meiryo.

  • In order to prevent virus infections acquired through USB, please check that your presentation data has not been infected by any virus in advance using the latest version of security software.

  • If you make a copy of your data, please test whether you can view your presentation on a different computer, after copying your data onto the external media.

 

Using Your Own Laptop Computer or Tablet:

  • Bring your own power adaptor and cable in order to charge your computer, and ensure that it is compatible with the D-sub 15 pin. Please bring an adaptor.

  • Ensure that you do not have your computer set to screen-saver or sleep/power- saving settings that could interrupt your presentation.

  • Cancel any passwords required from the screen-saver and on startup.

  • No DVDs please! No DVD player is available on the PC for you to use data DVDs.

Poster Presentation:

  • The size of the poster is A1.  1 poster per presentation.

  • Only boards/panels and pushpins will be provided for you to display your poster. 

  • No poster printer is available at the conference venues.

  • ​Poster session is at Inamori Memorial Hall.

Getting ID Badge:

  • Registration Desk is at the New Hall Lobby of Kyoto International Conference Center..  You will need a QR Code which is on your confirmation letter (PDF) to receive ID badge.  The registration fee includes a 7-day Kyoto city bus and subway pass excluding the Day Pass.

      September 1, 8:30 a.m.–7 p.m.
      September 2, 7:30 a.m.–6 p.m.
      September 3, 8:00 a.m.–6 p.m.
      September 4, 8:00 a.m.–6 p.m.

Lunch:

  • Lunch boxes will be provided in the dedicated areas in the Museum Fair & Expo Forum (New Hall, Event Hall, Annex Hall) and the Sakura room in the main building of Kyoto International Conference Center as follows:

    • September 1, 12:00 p.m.–1:30 p.m.
      (Sakura, ground floor (1F) in the main building)

    • September 2, 1:15 p.m.–2:30 p.m.
      (New Hall, Event Hall, Annex Hall)

    • September 3, 12:00 p.m.–1:30 p.m.

Interpretation:

  • English to Japanese interpretation will be provided on Session 7: Museum Education for Social Justice on September 4.  There is no interpretation for all the other sessions.

  • On your smartphone, you can also use a subtitle/translation support service app. Please download and try out the app ahead of time.

Venue:

  • September 2: Inamori Memorial Hall

    • ID badge and lunch are provided at Kyoto International Conference Center.  It will take about 30 min. from Kyoto International Conference Center to Inamori Memorial Hall.  From Kyoto International Conference Center, please take the subway to the Kitayama station (2 stops).  Four-minute walk from Exit 1.  You will require the ID badge to enter the Inamori Memorial Hall.

  • ​September 5: Off-site Meeting in Wakayama
